Overview
An opportunity has arisen for a Client Administration Executive to join a well-established firm. This role provides operational and administrative support to a designated practice area, ensuring efficient management of client engagements and internal processes.
You will be involved across the full client lifecycle, from initial setup and quotations through to project monitoring and billing, acting as a key coordination point between internal teams.
The Role
The position plays a key part in supporting client processes and maintaining operational accuracy across engagements.
Key Responsibilities
- Maintain and update client and contact records across internal systems
- Manage client profile amendments and monitor contact status updates
- Prepare, issue, and track client quotations in line with agreed arrangements
- Update quotation statuses and ensure follow-up actions are completed
- Draft Letters of Engagement (LOEs) and Terms of Business (TOBs)
- Liaise with AML team to support client onboarding processes
- Create and set up projects within internal systems, including budgets, revenue, and timelines
- Monitor project progress and maintain accurate project status records
- Oversee time recording processes to ensure completeness and accuracy
- Follow up on missing, incomplete, or inaccurate time entries
- Maintain integrity of time data for billing and reporting purposes
- Prepare and issue invoices in accordance with agreed fee arrangements
- Coordinate invoicing requirements with fee earners and Partners
- Ensure billing activities are completed in line with internal policies and deadlines
- Support the full lifecycle of client engagements from onboarding through to billing
- Act as a coordination point between fee earners, Partners, and internal departments
Requirements
- Minimum 2 years’ experience in an administrative role (client billing experience is considered an asset)
- Excellent written and verbal communication skills in English
- Strong organisational and time management abilities
- Proficiency in Microsoft Office applications
- Minimum O’Level standard of education, including Maths and English
