Procurement & Shipping Executive

Manpower is seeking to recruit a Procurement & Shipping Executive to join our client's team.
The Procurement and Shipping Executive is responsible for managing the procurement process, coordinating shipping activities, and ensuring efficient and timely delivery of goods. Expertise in procurement strategies, vendor management, and logistics coordination will be crucial to the success of our operations.
DUTIES AND RESPONSIBILITIES
Procurement Coordination
Purchase Order Management
- Create purchase orders accurately and in a timely manner, reflecting the agreed terms and conditions.
- Monitor and track purchase orders to ensure on-time delivery and resolve any issues or discrepancies.
- Coordinate with suppliers to obtain order confirmations, shipping details, and updates on order status.
- Maintain and update procurement records, including purchase orders, pricing, and supplier information.
Cost and Contract Management
- Analyze pricing proposals, cost structures, and market trends to identify cost- saving opportunities.
- Conduct negotiations to secure competitive pricing and favourable contract terms.
- Monitor and evaluate supplier performance, ensuring compliance with contractual agreements and quality standards.
- Implement strategies to optimize total cost of ownership and drive cost reduction initiatives.
Supplier Relationship Management
- Foster strong partnerships with suppliers to enhance collaboration, communication, and mutual benefits.
- Conduct regular supplier performance reviews and assessments to drive continuous improvement.
- Collaborate with suppliers to resolve any quality, delivery, or service issues promptly and effectively.
- Stay informed about industry trends, market conditions, and new product developments that may impact procurement decisions.
Compliance and Documentation
- Ensure compliance with company policies, procedures, and regulatory requirements throughout the procurement process.
- Maintain accurate records and documentation related to procurement activities, contracts, and supplier communications.
- Monitor and adhere to ethical sourcing practices and sustainability initiatives.
Shipping Coordination
- Coordinate and schedule shipments to ensure timely delivery of goods to customers.
- Prepare shipping documents, including bills of lading, customs forms, and export documentation.
- Collaborate with carriers and freight forwarders to arrange transportation and track shipments.
- Ensure compliance with shipping regulations, customs requirements, and international trade laws.
- Maintain accurate shipping records and track shipment status.
Process Improvement
- Identify opportunities for process improvement in shipping and logistics operations.
- Analyze shipping data and key performance indicators to identify trends, mitigate risks, and improve efficiency.
- Collaborate with cross-functional teams to streamline shipping processes and implement best practices.
- Stay updated on industry trends, shipping regulations, and carrier requirements.
QUALIFICATIONS, EXPERIENCE, AND SKILLS
- Bachelor's degree in business administration, supply chain management, or a related field would be considered an asset
- Proven experience as a Buyer or in a similar procurement role within the manufacturing industry preferred.
- Strong knowledge of procurement principles, practices, and techniques.
- Analytical mindset with the ability to analyse data and make informed decisions.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Attention to detail and a high level of accuracy.
- Ability to work independently and as part of a team.
- Strong knowledge of Microsoft Excel is important for data analysis, creating reports, managing inventory, and tracking purchasing metrics
- Purchase Order Systems: Experience in working with electronic purchase order systems or e-procurement platforms is valuable. This includes creating and managing purchase orders, tracking order status, and generating reports.
