Hr Admin
Manpower is seekign to recruit an HR Admin for our client. His/Her duties are to assist the Human Resources Executive in achieving the HR Departments objectives including handling personnel functions, training and health and safety requirements.
Requirements.
- To perform standard office procedures including scheduling appointments, organising interviews and performance reviews, processing and replying to mail/emails, answering phone calls, typing and filing, following the relevant checklists;
- To file all documents, papers, letters and records for quick and easy access and retrieval; to maintain and update files (manual and Shireburn); to ensure that all outgoing files are registered, easily traced and tagged;
- To prepare the necessary documents and conduct inductions of new employees;
- To handle all the necessary requirements related to work permits including gathering and scanning the required documents and submitting applications to Identity Malta;
- To assist in the engagement process for new employees and update the Shireburn recruitment database accordingly, using the relevant checklist;
- To support the Human Resources Executive in the recruitment process in line with Government regulations and Companys policies and to handle the administration of the recruitment process (as per relevant procedure);
- To advertise vacancies in accordance with HR and marketing policies and to contact employment agencies for hiring personnel when necessary and as directed;
- To liaise with Jobsplus and IRD and any other entity in relation to Grants and other Government Schemes available;
- To update records and keep track of any changes to the personnel records;
- To maintain employees records relating to vacation leave and sick leave;
- To report to the Human Resources Executive on any queries that employees might encounter;
- To provide regular input to the Human Resources Executive regarding Health & Safety issues, policies and procedures for the improvement of the system.
- To organize, coordinate training of employees and to keep training log sheets updated with any certificates pertaining to employee training records.
- To assist in organising the Companys social events including CSR days whilst actively participate in their promotion and attending when possible.
- To help out and participate in the Christmas Annual Dinner and other events and also in organizing rewards.
- To ensure a high quality/standard of work and service throughout.
- To perform any other duties related to the role which may be assigned from time to time.
