Operations Coordinator
Manpower is seeking to recruit an Operations Coordinator to join our client's team.
Role Overview:
The operations coordinator will be instrumental in organising and managing day-to-day operational activities, ensuring seamless coordination between technical teams, clients, and suppliers. This role encompasses scheduling, inventory control, customer service, and reporting, all contributing to the overall efficiency and success of our department.
Key Responsibilities:
- Scheduling & Coordination:
- Manage service schedules and assign tasks to technicians based on priority and expertise.
- Coordinate daily work orders and activities between the servicing team and other departments.
- Ensure timely delivery of services to clients, maintaining high levels of customer satisfaction.
- Customer Service & Communication:
- Serve as the primary contact for clients regarding service inquiries, complaints, and follow-ups.
- Maintain clear and professional communication between clients, service teams, and the Team Leader.
- Ensure all service requests are logged, tracked, and resolved promptly.
- Inventory & Resource Management:
- Order spare parts, tools, and equipment required for servicing.
- Coordinate with suppliers to order and restock parts as necessary.
- Track the usage of parts and tools to ensure future availability.
- Documentation & Reporting:
- Prepare and maintain accurate service records, including job completion details, parts used, and technician hours.
- Assist in generating customer invoices.
- Maintain records of client contracts, service agreements, and warranties.
- Quality Control & Process Improvement:
- Ensure all servicing activities meet quality and safety standards.
- Identify and suggest process improvements to enhance operational efficiency.
- Coordinate regular training sessions for the servicing team to keep their skills current.
- Compliance & Safety:
- Ensure all operations comply with company policies, industry standards, and safety regulations.
- Maintain an organized and safe work environment for the technical team.
Qualifications:
- Proven experience in an operations or coordination role, preferably within a technical or service-oriented environment.
- Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
- Excellent communication and customer service skills.
- Proficiency in inventory management and scheduling software.
- Ability to identify process improvements and implement solutions.
- Knowledge of industry standards and safety regulations is a plus.
